ELECTRONIC PARTICIPATION IN THE IITPSA ANNUAL GENERAL MEETING

THE ANNUAL GENERAL MEETING

  • Members or their proxies who wish to participate in the general meeting via electronic communication (“Participants”), must apply to the Institute’s meeting scrutineers to do so by submitting the form, via the link below (“the application”), to the  meeting scrutineers, The Meeting Specialist (Proprietary) Ltd (“TMS”) via email to proxy@tmsmeetings.co.za. (Note: Submission of the completed online form via the link below will automatically email it as noted above).
  • IITPSA Voting Members in good standing, or their duly registered proxies, will be able to vote during the general meeting through an electronic participation platform. Such Participants, should they wish to have their vote(s) counted at the general meeting, must provide TMS with the information requested in the form, linked below.
  • Each member, who has complied with the requirements below, will be contacted between 27th July 2020 and 17th August 2020 via email/mobile with a unique link to allow them to participate in the virtual general meeting.
  • The cost of the Participant’s phone call or data usage will be at his/her own expense and will be billed separately by his/her own telephone service provider.
  • The cut-off time, for administrative purposes, to participate in the meeting will be 17h00 on Friday 14th August 2020.
  • The Participant’s unique access credentials will be forwarded to the email/cell number provided on the application form.

PROXY NOMINATION

If you are unable to participate in the AGM yourself and wish to nominate a Proxy to represent you, please

  1. Click here to complete the “Proxy Nomination Form for the 2020 IITPSA National Annual General Meeting.
  2. If your nominated Proxy is not the Chairperson of the meeting, but another IITPSA member, that member must complete the “Participation Application Form”, as linked above (if s/he has not already done so), after you have completed and submitted the Proxy Nomination Form.
